Service Your Way
Scheduled delivery to your event location with food packaged and/or platter-ready for convenient guest service. Ideal for cocktail platters, office receptions and gatherings where the client will handle service.
Delivery plus professional setup and presentation of your catering order, including arrangement of food, platters and displays prior to guest arrival. Specialty grazing tables, interactive stations and elaborate installations may require additional setup labor or equipment.
Professional staffing and event service customized to your reception.
3-hour minimum per staff member. Standard staffing minimum: $225 per staff member. Shift Lead minimum: $300 per Shift Lead. Staffing time begins at the scheduled staff call time and continues through completion of contracted service responsibilities, including required setup and breakdown.
Includes standard serviceware appropriate to the selected menu and style of service. Available rental items may include china, flatware, glassware, serving pieces and other standard event equipment based on the needs of your event.
Specialty china, glassware, linens, furniture, bars, tables, décor, cooking equipment and venue-specific equipment are quoted separately. Lost, damaged or unreturned rental equipment may be charged at replacement cost.
An administrative fee is applied to catered events and supports event coordination, order processing and administrative services.
The administrative fee is not a gratuity and is not distributed to service staff as a tip.
Ordering & Event Information
We recommend placing standard catering orders at least 72 hours in advance. Full-service events, grazing tables, interactive stations and larger receptions should be booked as early as possible to ensure staffing, product and equipment availability. Last-minute orders may be accommodated based on availability.
A final guaranteed guest count is required prior to your event and will be used for final food preparation, staffing and rental requirements. Increases requested after the final guest count are subject to availability. Reductions made after the final guaranteed guest count may not result in a reduction of the final invoice.
Menu selections and ingredients are subject to availability and seasonality. Passed & Plated reserves the right to make comparable substitutions when necessary due to product availability or circumstances beyond our control. We will make reasonable efforts to communicate material substitutions prior to the event whenever possible.
Vegetarian, plant-based and gluten-conscious selections are available throughout our menu. Please inform our team of all known food allergies and dietary requirements when placing your order.
While reasonable precautions are taken when preparing special dietary selections, our kitchen and suppliers handle common allergens. Passed & Plated cannot guarantee an allergen-free environment or the complete absence of cross-contact.
Clients are responsible for providing complete and accurate delivery instructions and ensuring appropriate access to the venue at the scheduled delivery or staff arrival time.
Additional charges may apply for freight elevator restrictions, extended loading distances, stairs, parking requirements, extended wait times, multiple delivery locations, after-hours access, venue-mandated labor or unusual loading requirements. Additional delivery charges may also apply for locations outside our standard service area.
Delivery & Upscale Setup includes professional arrangement and presentation of the catered menu prior to guest arrival. Elaborate grazing installations, chef-attended stations, custom displays, specialty equipment and installations requiring significant additional setup time may require additional labor or equipment charges.
Interactive stations generally require a 30-guest minimum. Chef attendants, culinary staff, cooking equipment, rentals and venue-required equipment are not automatically included in the per-person station price unless specifically stated in your proposal. Required staffing and equipment will be determined according to the selected station, guest count, service duration and venue requirements.
Grazing tables generally require a 20–25 guest minimum, depending on the selected display. Professionally styled grazing tables may require boards, risers, serving pieces and setup equipment. Specialty styling, custom décor, elaborate installations and venue-specific equipment may incur additional charges. Drop-off platter versions may be available for certain grazing selections.
All event staff are subject to a 3-hour minimum. Staffing recommendations are determined by guest count, menu, venue requirements and style of service. Events extending beyond the contracted service period will be billed for additional staffing time at the applicable hourly rate. Additional rental or equipment charges may also apply when an event extends beyond the contracted period.
Drop-Off & Presented Orders: Payment in full is required prior to delivery.
Full-Service Events: A deposit is required to reserve your event date. The remaining balance is due prior to the event according to the payment schedule stated in your proposal or event agreement. An event date is not considered fully secured until the required deposit and/or signed agreement has been received.
Applicable New York State and local sales tax will be added where required. Clients claiming tax-exempt status must provide appropriate and valid documentation before final invoicing.
Events extending beyond the contracted service period are subject to additional staffing charges. Additional charges may also apply for rental extensions, equipment, transportation or other costs resulting from an extended event.
Changes and cancellations are subject to the terms stated in your proposal, order confirmation or event agreement. Orders involving specialty products, custom menus, advance food purchases, rentals, staffing or other third-party commitments may become partially or fully non-refundable once those commitments have been made. Final cancellation terms and deadlines will be provided with your event proposal or agreement.
Clients are responsible for rental equipment supplied for their event until it has been collected or returned. Lost, damaged, broken or unreturned rental items may be billed at replacement cost. Additional pickup, extended rental or replacement charges assessed by third-party rental providers may be passed through to the client where applicable.
Gratuity is not included. Administrative fees, delivery charges, setup charges and other service fees are not gratuities. Gratuity for service staff is at the client’s discretion unless otherwise specifically stated in the event agreement.
Menu pricing is subject to change based on market conditions, product availability and event-specific requirements. Custom menus, specialty products, venue requirements and services not listed on the standard menu will be quoted separately. Your final proposal will identify the food, beverage, staffing, rentals and services specifically included in your event.
