These terms summarize how ordering, service and payment work with Passed & Plated.
Proposals and agreements
These terms apply to catering orders and events booked with Passed & Plated. Your proposal, order confirmation or event agreement lists the food, beverage, staffing, rentals and services included in your event, and any terms it states take priority over this page.
Order minimums
Drop-off catering: $500 minimum food and beverage subtotal before delivery, administrative fee, rentals and applicable taxes.
Presented catering (delivery and upscale setup): $750 minimum food and beverage subtotal.
Full-service events: $1,500 minimum food and beverage subtotal.
Grazing tables and interactive stations: $1,000 minimum food and beverage subtotal. Individual selections may also carry minimum guest counts.
Advance ordering
We recommend placing standard catering orders at least 72 hours in advance. Full-service events, grazing tables, interactive stations and larger receptions should be booked as early as possible to ensure staffing, product and equipment availability. Last-minute orders may be accommodated based on availability.
Final guest count
A final guaranteed guest count is required before your event and is used for final food preparation, staffing and rental requirements. Increases requested after the final guest count are subject to availability. Reductions made after the final guaranteed guest count may not reduce the final invoice.
Menu selections and availability
Menu selections and ingredients are subject to availability and seasonality. We may make comparable substitutions when necessary due to product availability or circumstances beyond our control, and will make reasonable efforts to tell you about material substitutions before the event.
Dietary requests and food allergies
Please tell us about all known food allergies and dietary requirements when placing your order. While reasonable precautions are taken when preparing special dietary selections, our kitchen and suppliers handle common allergens, and we cannot guarantee an allergen-free environment or the complete absence of cross-contact.
Service area, delivery and venue access
We serve Manhattan, New York; events outside Manhattan are available by inquiry and may carry additional delivery charges.
Clients are responsible for providing complete and accurate delivery instructions and ensuring access to the venue at the scheduled delivery or staff arrival time. Additional charges may apply for freight elevator restrictions, extended loading distances, stairs, parking requirements, extended wait times, multiple delivery locations, after-hours access, venue-mandated labor or unusual loading requirements.
Service styles and fees
Drop-off: 15% of the food and beverage subtotal. Presented (delivery and upscale setup): 20% of the food and beverage subtotal. Elaborate grazing installations, chef-attended stations, custom displays, specialty equipment and installations requiring significant additional setup time may require additional labor or equipment charges.
An administrative fee of 10% applies to catered events and supports event coordination, order processing and administrative services. The administrative fee is not a gratuity and is not distributed to service staff as a tip.
Grazing tables and interactive stations
Grazing tables generally require a 20–25 guest minimum, depending on the display, and may require boards, risers, serving pieces and setup equipment. Interactive stations generally require a 30-guest minimum. Chef attendants, culinary staff, cooking equipment, rentals and venue-required equipment are not included in the per-person price unless stated in your proposal.
Staffing and service time
Waitstaff, bartenders and bussers are billed at $75 per hour and shift leads at $100 per hour, each with a 3-hour minimum. Staffing time begins at the scheduled staff call time and continues through completion of contracted service responsibilities, including setup and breakdown. Events that run past the contracted service period are billed for additional staffing time, and additional rental or equipment charges may apply.
Event rentals
The Standard Event Rental Package (15% of the food and beverage subtotal) includes standard serviceware appropriate to the menu and style of service. Specialty china, glassware, linens, furniture, bars, tables, décor, cooking equipment and venue-specific equipment are quoted separately.
Clients are responsible for rental equipment supplied for their event until it has been collected or returned. Lost, damaged, broken or unreturned items may be billed at replacement cost, and pickup, extension or replacement charges from third-party rental providers may be passed through.
Payment
Drop-off and presented orders: payment in full is required before delivery.
Full-service events: a deposit is required to reserve your event date, and the remaining balance is due before the event according to the payment schedule in your proposal or event agreement. An event date is not secured until the required deposit and/or signed agreement has been received.
Changes and cancellations
Changes and cancellations are subject to the terms in your proposal, order confirmation or event agreement. Orders involving specialty products, custom menus, advance food purchases, rentals, staffing or other third-party commitments may become partially or fully non-refundable once those commitments have been made.
Sales tax and gratuity
Applicable New York State and local sales tax is added where required. Clients claiming tax-exempt status must provide valid documentation before final invoicing.
Gratuity is not included. Administrative fees, delivery charges, setup charges and other service fees are not gratuities; gratuity for service staff is at the client’s discretion unless stated in the event agreement.
Pricing and custom events
Menu pricing is subject to change based on market conditions, product availability and event-specific requirements. Custom menus, specialty products, venue requirements and services not listed on the standard menu are quoted separately.
